Agenda: Every meeting needs an agenda of when, where and what will be discussed. It should be distributed well before the proposed event to allow plenty of time for….
Prepare: Spend the necessary time to prepare yourself for the meeting based on the topics as outlined in the agenda. It will ensure that you stay focused and do not miss what could be salient points that you need to get across. Now you are prepared, it’s time to head to the meeting where you will….
Respect: You should respect the other attendees by arriving on time and being prepared. Allow others to provide input into the discussion and decision making process and importantly respect the opinions of others. You may not entirely agree or you may in fact completely disagree but it is a meeting not a dictatorship so be prepared to listen to other points of view. Then it’s time for…
Action: The discussion and decisions made must be documented so that everyone knows what actually happened and what is expected of them. These minutes need to be distributed as soon as practically possible outlining who is responsible for what task and when they should be completed.
These are my ‘meeting must haves’ but you might have others. I’d love to hear what they are.
